Can I cleanse data from other countries?

Yes. We cleanse data on a global scale including email data from non-EU countries.

How often should email addresses be checked?

For large lists (>10,000) we suggest every 2 weeks. Smaller lists can be checked monthly. There are many reasons why email addresses are always changing, people may:

1. Move Internet providers
2. Move to new employers
3. Change Name

If you reply on your email lists for your business email marketing, it is important that you keep the lists as current and clean as possible.

How do I open a csv file?

Emailinspector exports data results as a .csv file.

A .csv file is best to be opened in any spreadsheet program such as:

  • Microsoft Excel
  • Open Office Calc
  • Numbers
  • iWorks
  • NeoOffice
  • Google Docs
  • and others available

Is my IP at risk of being blocked?

No. There is no risk to your IP. All our servers do all the work which means that as a user you can can be rest assured that your IP is completely safe.

How secure is my data?

Your data is very secure using Emailinspector. Security of your data is our primary concern. We host our systems in an Enterprise level data centre with the high level of security that you would expect.

We ensure your data is only accessible from a ‘need to know’ basis and we never share your data or use it for any purpose other than to validate for your need. No one gets access to your data except you and if you delete a list from our system it is completely removed from our servers.

Can I get some support?

Full Validation

How does the Full Validation service differ to the online service?

If your list contains over 100,000 email addresses or you are looking for a faster turnaround then our fully managed service is for you.

Emailmovers has developed a service, conducted in house, which rigorously tests the validity of each record on file and provides a definite Valid/Invalid response for every record on file, replacing the archaic method of tele-verifying every record at huge costs and unacceptable timescales.

What is the Full Validation process?

We take your database in-house to put it through a 5 step process:

  • Initial File Analysis – Duplicate addresses removed
  • Ill-formed addresses removed
  • Data Scrub – Spam trap addresses identified and removed

How do I receive the results?

Online Email Cleansing

Do I need to download any software?

No. There is no download needed to use Emailinspector as it is an online self-service portal. Register for a free account here

You can upload your data once registering for a free account online and will be shown an initial summary before committing to a full email cleanse.

What browsers do you support?

We support anything younger than 4 years old, including:

How do I register/sign up?

Visit our signup page and register for a free account. When you have an email list that needs cleansing upload it to your account and select a price plan and timescale that suits your requirements.

How do I upload a data file?

To upload a data file you simply need to prepare your file in a .csv or .txt format. Then once logged into Emailinspector select ‘Upload File’.

You can the upload your file using the upload button or drag and drop the file from its location to the upload area.

What is the maximum amount of email addresses I can upload in one list?

Currently you can upload up to 50,000 email addresses to your account at any one time. If your email list is larger and in need of a full email cleanse you will benefit from using our Emailinspector-Managed Service.

Our managed solution takes your database through the a full multi-stage email verification process to resolve every email address to either valid or invalid. For a managed email cleansing quote on your volume request a quote from our team here.

Can I upload multiple lists for cleansing?

Yes. When you purchase a plan for an email cleanse you pay for the total number of unverified email addresses, not per list.

This means if you have more than one list to cleanse you can upload them all separately rather than having to merge your data and you will still qualify for lower pricing for the more unverified data you upload.

How do I need to prepare my data for cleanse?

You should not need to do anything to your data list as long as it contains an email field.

One of the top benefits of our service is that you can upload files containing multiple data fields (eg. name fields, address, reference ID etc) and your data will be preserved exactly how you upload it. Our service will simply append the results in new columns to the end of the file. This prevents the need to manually match back the results to your original data file.

File Import – You can upload any text (.txt) or CSV (.csv) file that contains email addresses. This includes Excel, Outlook or any other application that can support these text files.

Do I need a subscription or can I just pay for a list?

We offer both options.

If you have a lot of data to cleanse over a month, or if you are looking for a solution to work on a regular basis you can purchase one of our subscription plans. These plans are designed to help save you money if you have regular requirements for email cleansing.

How a monthly plan works

How does Emailinspector check the email addresses on my list?

We check the full email address mailbox, e.g. does “” actually exist.

Emailinspector checks every email address in 3 stages:

  • Syntax – email address expected format e.g.
  • Domain – is it configured to accept emails
  • The existence of the mailbox (known as a SMTP check)

How long does an email cleanse take?

Our servers ensure that a full file check can be done quickly. A list of 50,000 email addresses for example, would normally take only around 5 hours to be processed.

Please be aware that times can vary list by list depending on how busy the system is.

Can I close my browser while the cleanse is taking place?

Yes. Once you send a data file to be cleansed it is processed in the background. This means you can close your browser and come back once the cleanse is complete.

You will be notified by email once the process has completed or you can check in while the cleanse is taking place to see the progress.

Are there any email addresses that can’t be verified?

Some servers we know can give problems, for example those that give false positives dues to a catch-all address. To handle these type of results we flag them appropriately.

If you are looking to resolve every single email address to either OK and Bad you may benefit from our Managed Service rather than the Online as we take the list through a further few stages to get results.

How do I download the results of my list?

Once your cleanse has completed you simply click on the ‘Download’ button from the drop down menu next to your file and your list will instantly download to your preferred location as a .CSV file. This file will include all the data imported, leaving it untouched.

There will be 4 columns appended to the end of your file:

  • Result: The status of the email address checked
  • Additional Status Info: More information about the status
  • Domain Country Code: Domain host location
  • Mail Server Country Code: Mail Server host location

What do the validation results mean?

Every email address is flagged as one of the following:

“OK” – this means the email is deliverable

“BAD” – the email is invalid, i.e. not deliverable

“UNKNOWN” – the email passes basic syntax and domain checks, but we can’t fully validate the mailbox. The Unknowns can potentially be valid, so we recommend you gradually re-introduce these into your mailing list.

Every email address check comes with ‘Additional Status Info’ which is especially helpful with the “Unknown” records as it will indicate why the email address cannot be checked using Emailinspector-Online. The Unknowns can be resolved further by using our Managed Solution.

How do I cancel?

There is no notice period if you want to cancel.

Our online Pay-As-You-Go plan automatically expires after validation and you will not be billed again unless you place another order.

For monthly subscription plans, you simply need to contact us and your cancellation will take effect at the end of the month. Once you have cancelled your service, you will still be able to log in to view your data in future and you can continue to run email list cleanses as and when you need them by purchasing a new or more suitable plan for your requirements.
